Getting started is simple:

Do I need to create an account?

What file types do you accept?

We support two main data formats:

  • CSV files (.csv) - Comma-separated values, works with any spreadsheet software
  • Excel files (.xlsx) - Modern Excel format with full compatibility

For logos, we accept PNG, JPG, JPEG, and GIF image formats up to 5MB in size.

How should I structure my data?

Your spreadsheet must have "InvoiceNumber" as the first column header. Other recommended columns include:

Can I use custom column names?

Our system automatically detects and maps common column variations. While "InvoiceNumber" is required as the first column, other fields can use variations like "Client", "Customer", "Item", "Product", etc. The system is flexible and works with most standard invoicing formats.

What if I have multiple items per invoice?

Simply create multiple rows with the same InvoiceNumber. Our system automatically groups all rows with the same invoice number into a single PDF, creating a line-item table for all related entries.

Security & Privacy

Do you store my data?

No, we never store your data. Your uploaded files are processed temporarily in memory and on temporary storage, then automatically deleted within one hour. We don't have databases or permanent storage for user data. Your privacy and security are our top priorities.

Is my business information safe?

Yes, absolutely. All data transmission is encrypted using HTTPS. Your files are processed securely and never saved to permanent storage. We don't have access to your business information beyond the temporary processing required to generate your invoices.

What happens to my logo file?

Like your data files, logo images are processed temporarily and automatically deleted after processing. We don't store logos or use them for any purpose other than including them in your generated invoices.

Are you GDPR compliant?

Yes, our no-storage approach means we're inherently GDPR compliant. Since we don't store personal data, there's no risk of data breaches or unauthorized access to your information. You maintain complete control over your data at all times.

Customization Options

Can I add my company logo?

Yes! Logo upload is a core feature. Simply select your logo file (PNG, JPG, JPEG, or GIF) when generating invoices. Your logo will appear prominently at the top of each invoice, giving your bills a professional, branded appearance.

Can I customize the invoice template?

Currently, we offer one professional template that works well for most businesses. However, you can customize the content by adding your own notes, terms and conditions, and payment instructions. Multiple template options are planned for future releases.

How do I add tax calculations?

When generating invoices, you can specify VAT/tax rates and shipping percentages. If your data includes Quantity and UnitPrice columns, the system will automatically calculate subtotals, apply taxes, and show the final total on each invoice.

Can I add payment terms or notes?

Absolutely! During the generation process, you can add custom notes (like project details or thank you messages) and terms & conditions (like payment deadlines, late fees, or business policies). These appear on every generated invoice.

Troubleshooting

Why isn't my file uploading?

Common upload issues and solutions:

  • Check file format: Only .csv and .xlsx are supported for data
  • Verify file size: Large files (>10MB) may timeout
  • Ensure your first column is named "InvoiceNumber"
  • Try saving Excel files as .xlsx (not .xls)
  • Check your internet connection for upload stability

The generated PDF looks wrong. What can I do?

PDF formatting issues usually stem from data problems:

  • Ensure your data doesn't have merged cells or complex formatting
  • Check that number columns contain only numeric values
  • Remove any special characters that might break formatting
  • Verify that each row has data in the InvoiceNumber column
  • Try simplifying your data to identify problematic fields

My logo appears too large or too small

Logo sizing is automatically optimized, but you can improve results:

  • Use high-resolution images (at least 300x300 pixels)
  • Ensure your logo has a transparent background if possible
  • Square or rectangular logos work best
  • Try different image formats (PNG usually works best)

I'm getting error messages

Error messages are designed to help you fix issues quickly. Common solutions:
